Understanding Advanced Sync Settings: How Filters and Transformations Work

Transformers

Transformers transform or convert one type of data to another type. When working between two databases, it often happens that both of them denote the same thing in different ways.

Example: I have "Affiliation" on RE as "Alumni 123," but because Almabase is user-facing, I do not want to show "Alumni 123." Instead, I want to use "Alumni" on AB wherever we have "Alumni 123" on RE.

Filters

Filters are used to filter specific data that we do or don't want to pull or push from RE to AB or AB to RE.

Example: I have 5 affiliations: Staff, Alumni, Parent, Board Members, and Student on RE, but I want to only get Staff and Alumni on Almabase.

Where to Find These Advanced Settings

Navigate to Settings -> Database -> Sync Rules, then click on the cog icon (โš™) for any of the field values.


Let's understand both using an example. Let's consider an affiliation filter for this example:

1. Here's a profile on Raiser's Edge with all the affiliation values:

2. Let's assume we set up the following values for Transformation and Filter: Under Transformations, Singer value on RENXT will be saved as Faculty on Almabase (add the existing affiliation values on Almabase here) and under the Filters, exclude a particular affiliation, 8408.

3. After we pull the profile from RE to AB, here's how the affiliation values will look:
