Step 1: Select the type of pull β€” one-time or recurring

  • In the admin navigation, head to Settings > Database. Choose the tab Sync Data.

  • Here, you will see two options; choose one based on how you want to keep the list updated β€”

    1. One-time data pull

    2. Recurring data pull

Step 2: Initiate Data Pull

  • For both the pull options, the system will ask you to select the following β€”

    1. What would you like to pull? - You can choose whether you want to only pull the constituents or pull the constituents + create an email list of them.

    2. Select the data list you want to pull from - Choose a constituent list you have on Raiser's Edge NXT or query on database view of RE.

    3. How would you like to pull records? - After you have selected query or list from RE to pull from, in the next step you can choose if you want to β€”

      • Create and update - Create new constituents (if any) and update existing records on Almabase with latest information from RE.

      • Only create - Only pull new constituents, the ones that are not on Almabase yet. This way your pull session will be shorter as you will not be pulling the whole list and get only new constituents.

      • Only update - Only pull latest information for the constituents and update on Almabase. Here no new constituents will be pulled. You can use this when you do not want additional records to be added to Almabase.

    4. How frequently would you like to pull records? (Only for recurring pull) - This is where you select the frequency of the pull for recurring data pull session.

    5. Select entities you want to pull data for - This is the list fields on Almabase that is pulled from Raiser's Edge. On this screen, you can select the fields you want to pull into Almabase from RE.

    6. The internal name for this list - This is a name to reference the list on Almabase for filtering and reporting purposes.

Once the options are selected the final steps is to click on Pull Data to initiate the pull.

Upon completion, an email list bearing the specified name will be available in the Communication center, ready for sending bulk emails.

πŸ’‘ Note: Email groups created through this method will be auto-updated only if you choose the "Recurring pull" option. Changes to the list won't auto-update if they are one-time pulls.
