Creating an Email Group Using an Email List

Learn how to create an email group simply by uploading an excel sheet.

Frequently, you may need to communicate with a list of individuals whose email IDs you've extracted from your database.

Almabase allows you to bypass external services like Mailchimp or Constant Contact by uploading this list directly to send out your emails.

Note: Email IDs that aren't recorded on Almabase would be considered unlisted records.

Matching Criteria

  • Primary Matching Criterion: Email IDs

  • Secondary Criterion: Associated Names

  • The platform expects at least a 75% similarity in names when matching. If this threshold isn't met, it opts to create a new record.

Note: The system guarantees that emails are dispatched to all email IDs present in the uploaded list, whether they pre-exist in Almabase or are new additions.

Step 1: Access Email Groups

  1. Navigate to the admin panel.

  2. Go to "Members".

  3. Select "Manage User Groups".

  4. Click on "Email groups".

Step 2: Initiate Group Creation

Click on "Create new Group" located next to the search bar in the top right corner.

Step 3: Choose Excel Upload

Select the option "Upload an Excel Sheet".

Step 4: Upload the Excel Sheet

  1. Click on "Select File".

  2. Choose the appropriate Excel spreadsheet from your computer.

  3. Click "Proceed".

Ensure the Excel sheet includes columns for "First Name," "Last Name," and "Email ID".

You can download a sample Excel sheet for reference.

Adhere to the following column headers when uploading:

  • First Name

  • Last Name

  • Email ID

Warning: The upload will fail if column headers are altered.

Step 5: Verify Group Creation

  1. Navigate back to email groups.

  2. Confirm the creation of the group.

Note: If you see "Processing" next to a group, refrain from sending emails to it. Await the completion of processing, which typically takes only a few minutes.

What to do when there's an error during the upload of an Excel sheet?

  1. Check if the email addresses are in the right format:

    1. E.g. jdeo@gma

  2. Click on 'Download Error Sheet'.

  3. Our system will then filter out all the emails with the broken format.

  4. Check and make necessary changes.

  5. Reupload the edited Excel sheet.
