Giving Report Explained

Understand what every number on your giving page report means — direct gifts, matching gifts, payment gateway charges, and your net total.

Every giving page in Almabase has a Reports tab that breaks down your fundraising total into its components — how much came from direct donations, how much was unlocked through matching or participation challenges, how much went to payment processing fees, and what your net recorded amount is.

This is especially useful during and after a Giving Day or campaign when you need to reconcile what the public thermometer shows with what has actually been recorded as gifts. The report gives you a single place to see the full picture without digging through individual gift records.

How It Works

Accessing the report

  1. Go to Giving in your Almabase admin.

  2. Open the giving page you want to review.

  3. Click the Reports tab.

The report has three parts: a summary at the top, a thermometer breakdown in the middle (competitive fundraising pages only), and campaign insights at the bottom.

Pages that are not competitive fundraising pages show only the summary and payment gateway charges.

Summary section

At the top, you see a high-level view of the campaign's progress:

  • Total gifts

  • Amount raised and goal progress

  • Number of donations and transactions

  • Donor count

Thermometer breakdown

Below the summary is the thermometer breakdown — a detailed view of what makes up your fundraising total.

Note: The thermometer breakdown only appears on competitive fundraising pages. Other giving pages show only the payment gateway charges section.\

Gross total

This is the overall amount raised on your giving page. It includes:

  1. Direct gifts — Donations made on the page by donors, plus any offline gifts added by admins. This does not include matching gifts.

  2. Matching gifts — Amounts unlocked through matching or participation challenges on your campaign.

Matching gifts are split into two categories:

  • Unrecorded — The dollar amount that has been unlocked by a challenge (because a matching threshold or participation goal was met) but has not yet been formally added as a gift record. This amount shows on the thermometer but is not yet in your gift data.

  • Recorded — The amount that an admin has formally added as a matching gift. Once you record an unrecorded matching gift, it moves from the unrecorded figure into this one.

The gap between unrecorded and recorded matching gifts tells you how much still needs to be formally recorded.

Amount recorded

This is the amount that counts toward your formal gift records — direct gifts plus recorded matching gifts. Compare this to the gross total to see how much is still unrecorded.

Payment gateway charges

This shows the total processing fees (such as credit card fees) to be charged on your gifts. Processing fees are configured in your Payment Gateway settings.

By default, processing fees are not reflected in the amounts donors see. You can choose to exclude payment gateway charges from your fundraising goal so that only net gift amounts count toward the thermometer and goal progress.

Net total amount raised

This is the total donation amount after subtracting payment gateway charges. Donors do not see this figure unless you have enabled the setting to exclude charges from your goal.

Insights

The bottom of the Reports tab shows a set of insight cards that give you a fuller picture of your giving page's performance beyond the dollar totals.

Challenge insights

If your giving page has Matching gifts or Participation challenge campaigns, the report includes a Challenge insights section that tracks how those campaigns are performing.

You see:

  • Completed — Challenges that have met their goal, along with the total amount released.

  • In progress — Challenges still working toward their goal, showing the amount released so far and the amount left to unlock.

Participation challenge example: James Thompson's employer pledges $1,000 when 50 alumni make a gift. At gift #35, the insights show 0 completed, 1 in progress, $0 released, $1,000 left. After the 50th gift, the challenge moves to completed and the $1,000 is released.

Matching gifts example: A dollar-for-dollar match up to $500 shows 0 completed, 1 in progress, $320 released, $180 left — the match is releasing incrementally as donors give.

Good to know: The report covers a single giving page — it does not roll up totals across multiple pages. Data reflects the moment you load the page, so refresh during a live event to see the latest numbers. For gift-level detail you can download and work with, use the Export tab on the same giving page.

Donor Insights

As gifts come in, donors are grouped here by affiliation (Alumni, Parent, Faculty, etc.). This helps you see which segments are contributing to the campaign.

Impact on Engagement

  • Gift payments recorded — The number of gift payments that have been recorded on this page.

  • Gifts mapped to a profile — The percentage of gifts that have been linked to a constituent profile in your system.

Participation Insights

  • Visitors — The number of unique visitors to your giving page.

  • Attempts — The number of times a visitor started the giving process, shown as a percentage of visitors.

  • Donors — The number of visitors who completed a gift, shown as a percentage of attempts.

  • Influencers — The number of donors who shared the page or influenced others to give, shown as a percentage of donors.

Impact on Payments

  • Total amount received on this page — The total dollar amount collected through this giving page.

  • Avg. gift size — The average dollar amount per gift.

  • Active monthly recurring gifts — The dollar value of active recurring gifts set up through this page.

Impact on Workflows

  • Automated emails sent — The number of automated emails (such as thank-you or receipt emails) triggered by gifts on this page.

  • Email campaigns sent — The number of email campaigns sent in connection with this giving page.

Feedback

How donors rated the gift process on this page, shown as a score out of 5 with the total number of reviews.

FAQs

What should I do if the unrecorded matching gifts figure is high?

Record them by adding each as an offline gift with the matching gift toggle turned on. Once recorded, they move from the unrecorded figure into recorded matching gifts and become part of your net amount recorded. Sync them to your CRM as well.

Can I record a matching gift if there are no unrecorded matching gifts?

Yes, but it is highly recommended not to. Every recorded matching gift should correspond to an unrecorded matching gift that a challenge has unlocked. If you add an offline gift with the matching gift toggle on when there are no unrecorded matching gifts, the thermometer will not reflect that gift. Only record matching gifts when there is an unrecorded amount to match against.

Do processing fees affect my goal progress?

It depends on whether you have enabled the Exclude payment gateway charges setting on your giving page. If exclude is selected, the fee amount is removed from the donation and the remaining net amount is what shows on the thermometer and counts toward the goal. If the setting is off, the full donated amount shows as-is on the thermometer with no fee deduction.

Why are transactions and gifts showing different numbers?

A transaction is a single payment event. A gift is an individual gift record. They usually match, but can differ. If the Show each fund donation as a separate gift toggle is turned on for your giving page, a single transaction where a donor splits their payment across multiple funds will create a separate gift record for each fund — so the gift count will be higher than the transaction count. Matching gift records that exist without their own payment transaction can also cause the numbers to differ.

Does the thermometer breakdown show what donors see on the public page?

No. The public progress bar shows goal completion based on your page display settings. The thermometer breakdown in Reports is an admin-only view that explains the components behind that number.

Why are payment gateway charges missing for some gifts?

Fee breakdowns require completed payment transactions with receipt data. Manually entered, offline, or externally processed gifts may not have this data, so their fees won't appear in the breakdown.

Why don't I see a thermometer breakdown on my giving page report?

The thermometer breakdown only appears on competitive fundraising pages. If your page is not a competitive fundraising page, the report shows the summary and payment gateway charges but not the thermometer breakdown.

Are "Fund for specific cause" campaigns included in Challenge insights?

No. Challenge insights only tracks Matching gifts and Participation challenge campaigns. Fund for specific cause campaigns are not included.

Can I export the thermometer breakdown?

The Reports tab is a live summary view and cannot be exported directly. For gift-level detail you can download, use the Export tab on the same giving page.

How often does the report update?

Data reflects completed gifts and campaign activity at the time you load or refresh the page. During a live Giving Day, refresh to see the latest numbers.

What is the difference between a participation challenge and a matching gifts campaign?

A participation challenge unlocks a lump-sum match when a participation goal is met (for example, 50 donors making a gift). A matching gifts campaign releases matching dollars incrementally as donors give, up to a cap. Both appear in Challenge insights but track progress differently.

Who can access the Reports tab?

Users with fundraising admin permissions for the giving page. If you don't see the tab, contact your site admin.
