When gifts come in through your Almabase giving pages, they don't automatically appear in Raiser's Edge NXT. You need to initiate the sync to push them to RE NXT.
On Almabase, you first . Once done, this gift list/segment is then validated and synced to RE NXT.
This article walks through the full process: filtering gifts, creating a list/segment, validating, configuring gift fields, and syncing. Once the sync is done, the gifts land in RE NXT as an uncommitted/unapproved batch ready for your team to review and commit/approve.
These steps are to push gifts from Almabase to Raiser's Edge NXT.
Step 1: Create a gift list - select the gifts you want to sync and create a gift list/segment out of it
Step 2: Validate the list - Validate if the gifts have all the required parameters set up correctly to sync to RE NXT
Step 3: Configure gift data and push to RE - Add batch number, gift attributes and sync to RE NXT batch
Step 4: Reviewing the sync status - Verify if gifts have reached the synced successfully
Before You Start
Before syncing any gifts, confirm these are in place:
The connected RE NXT account has Solutions Admin access
Every fund receiving gifts has a valid External Database ID matching RE NXT
Every donor is mapped to a constituent with a valid System Record ID
If any of these are missing, the affected gifts won't sync. You'll see specific errors during validation (covered below).
Step 1: Filter and Create a Gift List/Segment
Go to the Gift Dashboard and use Add Filter to narrow down the gifts you want to sync. How you filter depends on your workflow — here are the most common approaches:
By giving page — to sync all gifts from a specific campaign or event
By date range — to group gifts daily, weekly, or monthly
By sync status — set "Is synced with external database" to No to see only unsynced gifts
Based on the filters you apply, the gifts will be listed in the table view as shown below.
Click on the gear icon ⚙️ and select the "Create a gift list" option. This creates a list of all the gifts you've filtered on the table.
Gift lists vs. gift segments:
A gift list is a static snapshot — it contains exactly the gifts that matched your filters when you created it. Lists are best when you have a specific, fixed set of gifts to send to Raiser's Edge.
A gift segment is dynamic — it auto-updates as new gifts come in that match the filters. Segments are useful when you're syncing regularly. For example:
You sync gifts for a particular giving page on an ongoing basis. Instead of creating a new list every time new gifts come in for that page, create a segment with a filter on that giving page.
You send gifts to RE NXT weekly. Create a segment with a date filter covering the week, and new gifts within that window are added automatically.
Step 2: Validate the Gift List/Segment
Open the gift list/segment you just created from the Gift Lists tab.
If this is your first time syncing, you'll need to set up the RE NXT connection:
Select the RE NXT connection from the dropdown. If you don't have one yet, click Add Connection to connect an RE NXT account.
Click Test Connection to verify the systems are linked.
Once your connection is in place (it carries over for future syncs), click Validate Gift List. The system checks every unsynced gift in the list/segment to make sure it's ready to push.
If validation passes: All gifts are clear. Move to the next step.
If errors appear: They show in the Errors section below the gift list/segment. Click Fix Errors to review each one. Common errors include missing System Record IDs, unmapped donors, or funds without a valid External Database ID. After fixing the issues, click Validate Gift List again to confirm the fixes.

Step 3: Configure Gift Fields and Sync
Once all gifts pass validation, click Sync Gift Data. Before the sync starts, you'll see options to configure how the gifts land in RE NXT.
Gift batch
Choose whether to add to an existing batch in RE NXT or create a new batch. If you're adding to an existing batch, search for it by name.
Note: You can only add gifts to a batch that has not yet been approved/committed.
Gift attributes
Set the values for gift fields that will apply to all gifts in this sync. These include:
Campaign, Appeal, and Package — the codes that tag your gifts in RE NXT
Gift Type and Gift Sub-type
Post Status, Post Date, and Receipt Status
Acknowledgement Status
Use Default Soft Credits — toggle this on if you want RE NXT's default soft credit rules to apply
Custom gift attributes — any custom fields configured in your RE NXT environment will appear here
Already set these at the page level? If you configured campaign, appeal, or package codes on a giving page, those values take priority over what you set here. Once everything looks right, click Start Sync. The gifts are pushed to RE NXT as an uncommitted/unapproved batch.
Step 4: Check the Sync Status
In Almabase
The sync starts immediately. You'll see a progress bar on the gift list/segment page. Open the list/segment and check the Sync Status column for each gift:
Not synced — the gift hasn't been pushed yet
Added to a batch — the gift was successfully pushed to an RE NXT batch, but the batch hasn't been committed/approved yet
Synced — the batch has been committed/approved in RE NXT, and the gift is on the constituent's record
To find the exact batch number a gift was added to, click Edit gift details on the gift and scroll to Sync Details.
In RE NXT
The synced gifts now sit in an uncommitted/unapproved batch. In RE NXT, go to Gifts → Overview and look for the batch from your Almabase sync.
The gifts won't appear on constituent records or in reports until the batch is reviewed and committed/approved.

FAQs
Q: Some of my gifts failed to sync. Will none of the gifts sync?
No — gifts that pass validation sync successfully even if others fail. Only the gifts with errors are held back. You can fix the issues on the failed gifts and re-run the sync on the same list/segment. Only the previously failed gifts are retried.
Q: What if a gift is part of more than one list/segment? Will it create duplicates?
No. The system tracks each gift's sync status globally. When a gift is synced from one list/segment, its status updates to "Added to a batch" everywhere — including any other lists/segments that contain the same gift. This prevents duplicates.
Q: How do I unsync gifts that have been pushed?
On the gift list/segment, click the gear icon and select Mark as Unsynced. This resets the sync status of all gifts on that list/segment back to "Not synced" on the Almabase side — but it does not remove the gifts from Raiser's Edge.
What happens next depends on where the batch is in RE NXT:
If the batch hasn't been committed/approved yet — you don't need to delete the batch in RE NXT. Just make sure you don't approve/commit both the old batch and the new one that gets created on re-sync, or you'll end up with duplicates.
If the batch has already been committed/approved — the gifts are already on constituent records in RE NXT. They need to be deleted manually from the constituent records in RE NXT. If you re-sync without deleting them first, there's a risk of creating duplicate gifts.
We recommend using the unsync option only for testing purposes.
Q: I manually added a gift to RE NXT. How do I mark it as synced in Almabase so it doesn't get pushed again?
Populate the gift's External Database ID field in Almabase with the gift's System Record ID from RE NXT. The system will automatically mark the gift as "Synced." See How to Prevent Gifts Added in Almabase from Syncing Back to Raiser's Edge for step-by-step instructions.
Q: Can I push split gifts as separate gifts to Raiser's Edge?
By default, when a donor splits a gift across multiple funds, Almabase syncs it as one gift with multiple splits. If you want each split to appear as a separate gift in RE NXT, enable the "Push split gifts as separate gifts to external database" setting under Gift Settings.
Note: this applies only to one-time gifts. Recurring gifts are still pushed as a single gift with splits.
Q: Can I add gifts to an existing batch instead of creating a new one?
Yes. When you click Sync Gift Data, you have the option to select an existing batch by its batch number instead of creating a new one. The batch must be unapproved/uncommitted — you cannot add gifts to a batch that has already been approved.
Q: Can I test the sync process before doing it for the actual gifts?
Yes. You can sync gifts, review the results in the RE NXT batch, then unsync them in Almabase and try again. Each time you unsync, the gifts reset to "Not synced" on the Almabase side, so you can re-run the sync as many times as you need.
A few things to keep in mind:
Make a note of the batches created during testing so you can delete them in RE NXT afterward.
If the gifts end up being the ones you actually want on RE NXT and you approve the batch, there's no need to unsync.
If you've already approved a batch but don't want the gifts on the constituent record, you'll need to delete the gifts directly in RE NXT. Check with your RE NXT admin whether this is possible in your environment before proceeding.
