When a popular event fills up, interested guests have nowhere to go. The waitlist gives them a way to get in line and get notified automatically when a spot opens up — no back-and-forth emails with your team required.
As an admin, you control how it works: spots can be offered automatically in queue order, or you can hand-pick who gets notified. Guests manage their own details, and the system handles the rest.
How it works — overview
The waitlist follows a simple lifecycle:
Enable — Turn on the waitlist in event settings, pick a processing mode (automatic or manual), and set how long guests have to claim a spot.
Join — Guests add themselves from the event page, or admins add them manually.
Spot opens — A cancellation, reduced guest count, or capacity increase frees up seats.
Offer — The system (or the admin) sends an invitation email with a time-limited registration link.
Claim — The guest registers through the link. If they miss the deadline, the next person in line gets the offer.
Important: Waitlisted guests always have priority. When a spot opens, non-waitlisted visitors cannot register until all eligible waitlist offers have been claimed or expired.
Example
The Homecoming Tailgate is capped at 200 and sold out. Rachel Torres joins the waitlist for herself and a friend. A few days later, another guest cancels. The system offers Rachel the spot — she gets an email with a 24-hour link, registers both herself and her friend, and they're in.
