Claiming a Spot to Register

Learn how a waitlisted guest completes their registration after receiving an invitation to claim their spot.

When it's a guest's turn on the waitlist — whether the system sent the invite automatically or an admin triggered it manually — they receive an email with a unique registration link. This article covers what the guest sees, how they complete registration, and what happens if they miss the deadline.

How it works

The invitation email

The guest receives an email with the subject line indicating that a spot has opened up for the event. The email includes:

  • The event name and details

  • The number of spots available (matching the party size they requested on the waitlist)

  • A Register Now button with a unique link

  • A registration deadline — the date and time by which they must complete registration

Completing registration

Clicking the registration link takes the guest to the standard event registration page. From here, the process is identical to a regular event registration — the guest fills in their details and submits the form.

Once registration is complete, the guest moves from the waitlist to the Responded tab on the admin side, and they receive a standard registration confirmation.

Note: Guests can register fewer guests than they originally requested on the waitlist. If they do, the unclaimed spots go back to the waitlist and are offered to the next eligible guest.

What happens if the deadline passes

From the guest's perspective: If they try to access the registration link after it expires, they see a notification that the waitlist link has expired. They also see an option to rejoin the waitlist if they're still interested.

From the admin's perspective: The guest's entry moves from the Spot Offered tab to the Offer Expired tab. The guest will not receive another automatic notification. To re-offer them a spot, you can either:

  • Move them back to the Waitlist tab so they re-enter the queue

  • Send them a specific invitation directly from their record

In automatic mode, the system moves on to the next eligible guest immediately after an offer expires. In manual mode, the admin must trigger the next notification themselves.

For sub-events

When claiming a spot for a sub-event, the guest may need to select which attendees from their party to register for the specific sub-event. The registration form shows the sub-event details and ticket type they were waitlisted for.

Example

Priya Patel joins the waitlist for the Founders Day Barn Dance with a party of two. When two spots open up, she receives an invitation email with a 24-hour deadline. Priya clicks the link, fills in the registration form for herself and her spouse, and confirms attendance. Both are now registered, and Priya's entry moves to the Responded tab.

Meanwhile, David Chen received the same offer for a different set of open spots but missed the 24-hour window. His status moves to Offer Expired. He clicks the old link and sees the expiry notice, but uses the "Rejoin waitlist" option to get back in line.

Q: Can guests register for fewer guests than they requested?

Yes. They can reduce their guest count during registration. The unclaimed spots go back to the waitlist.

Q: Can guests register for more guests than they requested?

No. They'll see an error message if they try to add more guests than their original waitlist request.

Q: Can a guest rejoin the waitlist after their offer expires?

Yes. If a guest clicks their expired link, they'll see an option to rejoin the waitlist. They can also contact your team to be added back manually.
