Understanding the Accept Registration and Allow Edits Toggles

Learn how the Accept Registration and Allow Edits toggles control who can register, edit, or cancel event registrations — and how they work together.

When managing an event, you often need to control two things independently: whether new guests can register, and whether existing guests can modify or cancel their registrations.

Almabase gives you two separate toggles for this — Accept Registration and Allow Edits — so you can manage each scenario on its own terms.

For example, you might want to close registration for new guests a week before your event, but still let already-registered guests update their ticket selections or cancel if plans change. Or you might want to lock down all changes entirely so your catering and seating numbers are final. These toggles give you that flexibility.

Both toggles are found at the bottom of your event setup page, alongside the Publish Event toggle.

How It Works

The Two Toggles

Accept Registration controls whether new guests can start a registration for your event. When this toggle is off, the registration button on your event page is greyed out and displays "Registrations Closed." No new registrations can begin.

Allow Edits controls whether existing guests — specifically those whose registration has reached a "Registration Successful" status at any point — can modify or cancel their registrations. When this toggle is off, guests with a successful registration cannot make changes, add tickets, remove guests, or cancel. This applies to both paid and free events.

Key rule: The system determines which toggle applies based on the guest's registration history. If a registration has reached "Registration Successful" at any point, the Allow Edits toggle governs what that guest can do — not the Accept Registration toggle.

What Each Toggle Combination Does

Here's how the two toggles work together:

Accept Registration: ON | Allow Edits: ON

This is the default setting. Everything is open — new guests can register, and existing guests can modify or cancel their registrations freely.

Accept Registration: ON | Allow Edits: OFF

New registrations are still open. Guests who are in the middle of registering and have never reached "Registration Successful" (pending payment, payment initiated, or retrying a failed payment for the first time) can complete their registration without being blocked.

However, guests whose registration has previously reached "Registration Successful" cannot edit or cancel. This is useful when you want to keep accepting new attendees but need to lock down existing registrations — for example, to finalize catering counts or seating arrangements while still selling remaining tickets.

Example: Your alumni reunion gala has 200 registered guests and you need to send final numbers to the venue. You turn off Allow Edits so those 200 registrations are locked. But you still have 50 open seats, so you keep Accept Registration on. Maria Gonzalez, who registered last week, cannot change her ticket selection. But David Chen, who just found out about the event, can still register and purchase tickets.

Accept Registration: OFF | Allow Edits: ON

No new registrations are accepted — the event page shows "Registrations Closed." But guests who already have a successful registration can still make changes: editing ticket selections, updating guest details, or cancelling.

Guests who started a registration but never reached "Registration Successful" (pending payment, payment initiated, or payment failed — all without a prior successful registration) cannot continue or retry. Their registration is treated as a new registration attempt, which is blocked.

Example: Registration for your homecoming weekend closed on Friday. Priya Patel, who successfully registered last month, realizes she needs to add a plus-one. Since Allow Edits is on, she can modify her registration through the link in her confirmation email. Meanwhile, James Thompson, who started registering but never completed his registration, cannot finish because new registrations are closed.

Accept Registration: OFF | Allow Edits: OFF

Full lockdown. No new registrations, and no changes to existing ones. The only people who can make any changes are admins (see below).

This is typically used right before an event when everything needs to be final — guest lists, ticket counts, seating charts, and catering orders are all set.

How Cancellation Works with These Toggles

Cancelling a successful registration is treated as an edit, not a new registration. This means:

  • If Allow Edits is on, guests with a successful registration can cancel (via their confirmation email or the event page).

  • If Allow Edits is off, guests with a successful registration cannot cancel.

  • Guests who were already cancelled and never reached "Registration Successful" are not affected by either toggle — there is no active registration to gate.

  • Guests who were cancelled but did previously reach "Registration Successful" are governed by the Allow Edits toggle (since they had a real registration at one point).

Admin Access

Admins can always register guests, edit registrations, and cancel registrations regardless of either toggle's state. The toggles only affect what guests (end users) can do on their own. Admins can continue managing registrations through the Guest Manager tab at any time.

FAQs

If I turn off Accept Registration, can existing registered guests still edit their tickets?

Yes — as long as Allow Edits is on. The Accept Registration toggle only controls new registrations. Existing guests whose registration reached "Registration Successful" are governed by the Allow Edits toggle.

A guest started registering but didn't pay. Will they be blocked if I turn off Accept Registration?

Yes. A guest who has never reached "Registration Successful" is treated as a new registrant. If Accept Registration is off, they cannot continue or retry — even if they had previously opened the payment modal or experienced a failed payment.

What happens to a guest whose payment failed, but they had a prior successful registration on the same event?

This guest is governed by the Allow Edits toggle, not the Accept Registration toggle. Since their registration previously reached "Registration Successful" (for example, they registered successfully but then a subsequent payment to add more tickets failed), their ability to retry depends on whether Allow Edits is on.

Can a guest cancel their registration if Allow Edits is off?

No. Cancelling a successful registration is treated as an edit. If Allow Edits is off, guests cannot cancel on their own. An admin can still cancel on their behalf through the Guest Manager.

I want to close registration but still let guests cancel. What should I do?

Turn off Accept Registration and keep Allow Edits on. This blocks new registrations while allowing existing guests to modify or cancel.

Can I still add guests as an admin when both toggles are off?

Yes. Admins can always add, edit, and cancel registrations through the Guest Manager, regardless of toggle settings. Use the "+" button at the bottom of the Guest Manager tab to add a guest manually.

Does this work differently for free events (no tickets or payments)?

No — the logic is the same. The system checks whether a guest's registration has reached "Registration Successful," not whether a payment was made. For free events, a guest reaches "Registration Successful" upon completing their RSVP. Once they have, the Allow Edits toggle governs their ability to modify or cancel — just like on a paid event.

Does the Allow Edits toggle affect what guests see in their confirmation email?

When Allow Edits is off, the "Modify Registration" link in the confirmation email will not allow guests with a successful registration to make changes. They will see a message indicating that modifications are not available for this event.

I turned off Allow Edits but a guest says they were still able to complete their registration. Is that a bug?

No. If the guest had never reached "Registration Successful" before (for example, they were in "Pending Payment" status from an admin-added registration), they are treated as a new registrant — governed by the Accept Registration toggle, not Allow Edits. If Accept Registration is on, they can complete their registration.
