Creating A Simple Event (Open, Moderated, And Invite- Only Events)

Over-view on how to create an RSVP event, add guest and booking form, setup accompanying guests, and send event invitations.

Here's how to create a simple RSVP Event:

Step 1: Navigate to Events from Tools in the admin panel. On the following modal, Click on the + icon to create a new event and fill in the name of your Event. (GIFπŸ‘‡)

Step 2: Choose the type of Event based on your requirements from the following.

  • Open Event- Encourage broader participation by allowing anyone interested to register.
    ​

  • Moderated Event- Moderate the guest list by sharing venue details only with approved guests.

  • Invite-only Event- Create private events using personalized invitation links sent to a limited invite list that you set.


Sections to set up on an RSVP Event:

On the following screen, you will see the various sections to be set up πŸ‘‡

You need to set up only three sections for a simple RSVP event. (Basic settings, Details & Images, Guests & Registrations)


Basic Settings:

Under basic settings, enter the following details for the Event.

  • Event Name
    ​

  • Event Venue (Location, URL, or Zoom Webinar)
    ​

  • Event Start and End Date & Start and End Time.
    ​

  • Time Zone
    ​
    ​

  • If the Event is for a specific community group, select the group in the field. Show this Event only within certain communities; otherwise, leave the field blank.

  • The fields "How would you like to manage registrations?" and "Event discoverability" will have default values but can be changed by clicking on the current options based on the type of event.

The Default values are as follows:

Details & Images:

  • Once the basic details are entered, the next step is to add information about the Event under the Description field; here, you can give the user more information about the Event.

Pro Tip: Description is a rich text field, so you are not restricted to texts only. You should be able to add videos, upload a file, create a table, etc. (a string of options)

  • Upload the banner pictures you want for the Event on a laptop/desktop and on a mobile device using the fields Banner Image and Banner Image on the mobile.

  • You can also share images of the same Event from last year using the "Event Gallery Image" field and upload a customized logo in the "Logo" section that will substitute the default school logo for this event.

Note: For the entire image to be visible, please upload it in the recommended size mentioned below the respective fields


Guests & Registrations:

Here, you can set-

  • Whether you want the Event to be available only to verified account holders on your platform? or to anyone?
    If it's open to anyone, then toggle on "allow guests to register without logging in or signing up."

  • Whether you want to allow other guests to accompany your ticket
    If accompanying guests are allowed, then toggle on "Permit accompanying guests."
    ​

  • Whether you need to ask the guests additional questions using forms, if yes, attach a custom form under the "Registration Form" field.

  • You can also add a user's email address to the "send notifications to" field, and every time somebody registers for the Event, this user will be notified.

  • If you want to show the details of registered guests on the events page, then toggle on "Show registered guests on the event's page". The details of the registered guests can be seen below the Register button.

  • You can allow a certain number of registrants and accompanying guest to an event, by adding the number in this field "Maximum guest limit"

  • If accompanying guests are allowed, the buyer will be required to input some basic details about the people accompanying them.

  • To allow the event registrant to fill in details of the accompanying guests later, you can use Sponsored or Team tickets. This allows the event registrants to come back later and fill in the accompanying guest's details.


A few other sections that you can set up in addition to the three sections mentioned above for an RSVP event πŸ‘‡

  • Contact Persons:

Here you can add details of the contact person who will be seen on the events landing page.

  • Other Settings:

Under this section, there are a few additional settings, such as:

  1. Redirect registration to an external URL (for detailed information, follow this help article)
    ​

  2. Tags - adding a tag will help you filter the Event on all events listing pages.
    ​

  3. Show discussion on the event's page.
    ​

  4. Detach from the engagement platform - To remove the login option from the Events page, turn on the toggle "Detach from engagement platform"
    ​

  5. Asks guests to select affiliation (for detailed information on this, follow this help article)


Final Touch!

  • Toggle on 'Publish Event' to make the Event visible on the platform; the event name will appear on the homepage events card.

  • Once published, toggle on 'Accept Registration' to allow people to register for the Event.

  • If you don't want your guests to edit their registrations, you can toggle off "Allow edits"
    ​

  • And finally, hit 'Save Changes.'


Congratulations! You have successfully created your Event!

Pro Tip: Before publishing your event, make a test registration to see how the flow looks for your users. You can clear guests once you are set!
