A large giving day can have many sub-pages, one for each school, department, athletic team, or affinity group. The people who know those programs best are usually the department coordinators, not the advancement office. Sub-page managers let you invite a coordinator by email to look after one sub-page. They can refresh the photos, story, goal, and impact stats themselves, without an admin account.
For example, Sarah Mitchell, Director of Annual Giving at Hartwell University, adds Priya Patel, the School of Engineering's events coordinator, as a manager of the Engineering sub-page. Priya swaps in a new banner photo, updates the description, and shares an impact story. The rest of the Hartwell Gives page stays untouched.
Managers work in a separate manager portal, so they only see the sub-pages assigned to them.
How It Works
Add a manager
Open your Competitive Fundraising page in the admin panel and go to Settings > Sub-pages.
Click the sub-page you want to hand over to open its settings panel.
Scroll to the Managers section.
Click Add manager, then enter the person's full name and email address.
Click Add & send invite. The manager is added and receives an invitation email.
You can add several managers to one sub-page, and one person can manage several sub-pages.
Not sure what to tell a coordinator? Click What can managers do? in the Managers section for a quick summary you can read to them.
Edit the invitation email
Click Edit invitation email in the Managers section to change the wording, branding, or layout of the email managers receive. The first time you open it, you start from the standard invitation. Your saved version is used from then on.
The invitation email is shared by all giving pages on your site. Edits apply to every manager invitation, not just the sub-page you opened it from.
Manage your managers
Each manager in the list has these actions:
Resend invitation email: sends the invitation again, for example if it landed in spam.
Copy magic link: copies a personal one-click sign-in link that you can send to the manager yourself. The link is valid for 30 days.
Remove: takes the person off that sub-page. If it was their only sub-page, they lose portal access right away.
Above the list, Copy portal link copies the manager portal address. Managers can go there at any time and sign in with their email.
How managers sign in
Managers receive an email titled "You've been invited to manage [sub-page name]". They can sign in two ways:
One-click link: click Open Manager Portal in the email. The link works for 30 days.
Email code: go to the manager portal, enter the email address the invitation was sent to, then type the 6-digit code sent to that address. Codes expire after 10 minutes.
Once signed in, a manager stays signed in for 24 hours. Each sub-page has its own address in the portal, so managers can bookmark the one they edit most often.
What managers see
After signing in, managers see every sub-page they manage, with live Raised, Donors, Gifts, and Goal figures. They can search, filter by giving page, and click a sub-page to edit it.
Seeing what a manager sees
If you open the manager portal while signed in as an admin, you see all sub-pages on your site, each with an Admin badge. To see exactly what one manager sees, open that manager's link in a private browser window.
What managers can and can't do
Managers can:
Card preview: edit the page name, summary, and card image
Landing page: edit the banner image (plus an optional mobile banner), description, and goal
Description formatting: use bold, italics, underline, strikethrough, text color, headings, alignment, lists, quotes, and links
Goal type: choose an amount, a number of donors, or a number of gifts
Impact area: edit the section title, video link, impact stats, and image
Sections: choose which of the giving page's existing campaigns/challenges, leaderboards, and custom sections appear on the sub-page, and set their order
See totals raised, donors, and gifts
Only admins can:
Add a video banner (managers can add a video in the impact area)
Change the sub-page link
Publish, hide, create, or delete sub-pages
Create campaigns/challenges, leaderboards, or custom sections
Show a campaign/challenge that an admin has hidden
Change the social sharing image
Add images, videos, or files inside the description
See individual donor details, gift records, or exports
Edit the main giving page or other sub-pages
Add or remove managers
If the sub-page is published, a manager's edits go live as soon as they click Save. For security, scripts and embedded content are removed from a description when a manager saves it.
Before you invite managers
There's no approval step. Invite people you trust to represent the program, and share your brand guidelines with them.
Images must be under 7 MB. Recommended sizes:
Card image: 400 × 300 px
Banner: 1200 × 375 px
Mobile banner (optional): 600 × 600 px
Impact image: 4:3 ratio
Remove access when it's no longer needed. Managers keep their access until you remove them.
Share a toolkit with your managers
Give your coordinators a head start with the department toolkit. It's a ready-to-edit guide with sign-in steps, a content checklist, a writing and image guide, and sample giving-day messages. Make a copy of the toolkit, fill in your dates, links, and contact details, and send it along with the invitation.
FAQs
A manager's sign-in link stopped working. What should they do?
One-click links expire after 30 days. The manager can sign in at the manager portal with their email and a code instead. You can also use Resend invitation email or Copy magic link to give them a fresh link.
A manager sees "You aren't set up as a sub-page manager." What does that mean?
They're most likely signing in with a different email address from the one you invited, such as a personal address. Ask them to use the invited address. If they still see the message, check that they haven't been removed from the sub-page.
A manager didn't receive the invitation email. What can I do?
Ask them to check their spam or junk folder first. If it isn't there, use Resend invitation email, or use Copy magic link and send the link to them directly. A manager is added to the sub-page even if the invitation email couldn't be sent.
If a manager turns off Leaderboards, Campaigns, or Custom sections, does it disappear from the sub-page?
Yes. When a manager turns one of these off and saves, those items are removed from the sub-page. Turning it back on, choosing the items again, and saving restores them.
How do I change a manager's email address?
Access is tied to the email address you invited. Remove the manager, then add them again with the new address.
Can a manager work on a sub-page before it's published?
Yes. Edits only go live once the sub-page is published.
If I duplicate a giving page, are managers copied?
Yes. When you duplicate a giving page, a sub-page is recreated on the duplicate for each sub-page on the original, and its managers are copied too. Review the managers on each sub-page and remove anyone who shouldn't have access.
Is there a sign-out button in the manager portal?
No. Managers are signed out automatically after 24 hours. If they're on a shared computer, they should close the browser when they're done.
