Pushing Form Submissions from Events and Giving to Almabase Profiles

Push event Registration and Guest form and giving page Pre-payment and Post-payment form data to Almabase profiles with the Events and Giving connectors, and custom form questions with form connectors.

This article covers pushing information from event forms (Registration and Guest forms), giving page forms (Pre-payment and Post-payment forms), and custom forms added to events and giving pages to Almabase profiles. It does not cover exporting responses (events, gifts), forms created on their own in Tools → Forms (form connectors), or syncing profiles to your CRM (Raiser's Edge NXT and BBCRM).

Every event has a Registration form and a Guest form. Every giving page has a Pre-payment form and a Post-payment form. These forms stay in place and can't be replaced, but you can add custom forms to an event or giving page to ask extra questions, such as "Are you interested in mentoring students?"

When guests register or donors give, the details they share and the answers to your custom questions are saved with the registration or gift. Almabase can push that information to the person's Almabase profile, so you don't have to copy it over by hand.

How you push the information depends on whether it comes from the event Registration and Guest forms and giving page Pre-payment and Post-payment forms, or from the custom form questions you added.

How It Works

Before you start: map guests and donors to Almabase profiles

Information from event forms (Registration and Guest forms), giving page forms (Pre-payment and Post-payment forms), and custom forms added to them can only be pushed to an Almabase profile. Each guest or donor must be mapped to one if you want to save their form submissions to their profile and then push them to your connected CRM.

If a registration or gift is mapped directly to a CRM record, such as a Raiser's Edge record, and the person isn't in Almabase, nothing can be pushed.

Option 1: Push contact details from Registration, Guest, Pre-payment and Post-payment forms

These forms collect standard contact details: name, email, phone, address and affiliation. The Events connector and the Giving connector control how these details update the Almabase profile. You can set each type of detail to update automatically, update after your review, or not update.

Option 2: Push answers from custom forms

Suppose David Chen gives $100 to your Annual Fund and fills out a custom form you added to the giving page with the question "Interested in mentoring students?" His contact details come from the Pre-payment and Post-payment forms. His answer to the mentoring question comes from the custom form, so you push it with a form connector. A form connector links a question on the custom form to a field on the profile, and you choose whether the answer updates the profile automatically or after your review.

Answers that need review wait in the Data Inbox. Open the Data Inbox and select Forms to Almabase Profile to see everything flagged for review.

FAQs

Can I use the Events or Giving connector for the questions on my custom form?

No. The Events and Giving connectors handle the Registration, Guest, Pre-payment and Post-payment form details only. To push answers from a custom form, set up a form connector.

Can I replace the Registration, Guest, Pre-payment or Post-payment forms with my own?

No. These forms stay in place on every event and giving page. Custom forms are added alongside them.

Where do I review event and giving form information that's waiting for approval?

It depends on the form. For Registration, Guest, Pre-payment and Post-payment forms, open the Constituent Data card on your event or campaign dashboard and click Review and Approve. For custom forms, open the Data Inbox and select Forms to Almabase Profile.

Most of my guests or donors are mapped to Raiser's Edge or BBCRM records, not Almabase profiles. How do I get their form submissions into my CRM?

Form submissions from your events and giving pages can't be pushed when the guest or donor is mapped only to a CRM record. You have three options:

  • Export from the event or giving page and add the responses to your CRM yourself. See How to Export Form Submissions? for events and Gift Reports and Exports for giving pages.

  • Bring those records into Almabase from your CRM and map the guests or donors to them. See Pulling Constituent Data from RE NXT or BBCRM into Almabase.

  • Set a profile creation default so that new registrations and gifts that match a CRM constituent also get an Almabase profile. Under Profile creation defaults → When matched to a CRM constituent, choose Create a profile on Almabase and map. For events, find this under Sync configuration and connectors → Guest mapping. For giving, find it under Gift Settings. Records that match a CRM constituent are still unmapped and flagged for review. This setting just sets the action taken upon mapping. It applies to new registrations and gifts only, and records that are already mapped stay as they are. See Auto-mapping Rules.
