Understanding 'Allowed for Transaction Only' Email Preferences

When you notice the status "Allowed for Transaction Only" in the "Can Email" field in Data Studio, it means you can send transaction-related communications like:

  • Receipts

  • Event registration confirmations

  • Notifications pertaining to the transaction they participated in

Note: In the past, anyone who made a gift or registered for an event could receive any emails even if they did not intend to.

As such, we marked these emails as 'Allowed for transaction' now to respect their implied preferences.

And since 2019, we've stopped creating records for event registrations or gifts. We now use a mapping process to link any registration or gifts to a profile.

Restrictions on General Communications

The email address cannot be used for communications beyond the scope of their transaction without changing their email preference. This includes:

  • Newsletters

  • General announcements

  • Marketing campaigns

Automated Unsubscription

If you attempt to add this email to a communication group beyond its original purpose, the system will automatically unsubscribe the email to respect the user's preferences.

Updating Communication Preferences:

To adjust the communication preferences for such records:

  1. Access the user's profile in the database.

  2. Modify the "Can Email" status to reflect their new preference.
