Learn how to create an email group from a csv or excel file

Step 1: Go to creating email groups

  1. Navigate to the admin panel. Head to Members > Email groups.

  2. Click on Create new group

Step 2: Initiate the upload

  1. Select the option "Upload an Excel Sheet".

  2. Download the sample format sheet. You can create a similar sheet or add information to the sample sheet directly.

  3. Once the file is ready, click on Proceed, select the file, and upload.

The file will be processed, and the email group will be created. The group is listed on the Email Groups page.

FAQs

  1. Some of the email addresses on the file are already on Almabase. Will the system create duplicate records?

    • When you upload an email list, the system first checks if the email address already exists on the platform.

    • If it does, it verifies whether the name on the file and the name of the record on the platform match. If they match more than 75%, it doesn't create a new record. If the name match is less than 75%, it creates a new record.

    • To avoid duplicates, if you are uploading emails that are already on Almabase, then follow one of the two ways β€”

      1. Add the "Almabase Profile Id" column to the template file. For the records already on Almabase, get their Almabase Profile ID and add it to the upload sheet. The system will first match the IDs and will not create duplicates.

      2. Match the name on the sheet exactly with that on the Almabase record. The system will not create duplicates, as it will find a 100% name and email match.

  2. How much time does it take to upload an email list file?

    1. It depends on the number of records you have on the file. It typically gets done in under an hour.

  3. The file I uploaded isn't processing. What should I do?

    1. This happens for a couple of reasons.

      1. The column names on the uploaded file are not according to the format. They must be "First Name," "Last Name," and "Email ID." Otherwise, the system will not process the file.

      2. The email addresses are not in the correct format. The creates an error file of such addresses. You can correct it and reupload it.
