How to Add or Append a New Email Address for Existing Profiles through Excel Import?

Please follow the below steps to add or append a new email address to the existing alumni data on the platform.

✅ Step 1: Get the Almabase Profile ID

  1. Go to Data StudioAdd/Remove Columns ➡ Add Almabase Profile Id. For quicker download, delete all other columns before download.

  2. Select the profiles for which the email addresses need to be updated. Based on the available information, you can either search and select profiles or use the filter option.

  3. Download Table Data Only

✅ Step 2: Download the Data Import Template

  1. In the admin navigation, click on Data ManagementImport Data. This window will show two steps to follow.

  2. First, Download the Template

  3. On the downloaded Excel sheet, include the Almabase Profile ID and the new email address. Ensure that this information is added to the downloaded template without altering its format or deleting any columns.

  4. Once all the information is added, save the file in .xlsx or .xls file format before moving to the upload step.

✅ Step 3: Import the file

  1. Click here to select the file or drag and drop the file to this area for upload.

  2. Click on Start Importing which will open a new pop-up. Add a list name, review the fields for data upload, and proceed with the selection.

    1. Enter a list name here. This list name can be accessed on Data Studio after the upload.

    2. The fields are auto-selected by the system based on the information present in the Excel sheet. Review this once before proceeding.

  3. You can check the status of the file upload here. It will show the successfully uploaded rows and errors, if any. If there are any errors, the error file can be downloaded, corrected, and reuploaded.

💡 Try uploading a sample set of fewer records before uploading the entire data sheet to ensure that the data is correctly formatted.

✅ Step - 4: Check the Uploaded Records

  1. After the records are processed successfully, you can check the uploaded records from the link provided in the file upload summary, as shown below.

  2. Alternatively, you can check the uploaded records on Data Studio using the list name of the data upload.

    To do this go to Data Studio ➡ Click on Add Filter ➡ Search for List Names ➡ Select is any of ➡ select the List Name from the dropdown.
