Syncing Deletion Of Constituent Data

Syncing deletions between Almabase and Raiser’s Edge (RE) ensures that when data is removed from one system, it is also removed from the other. This feature aims to improve data consistency, reduce outdated information, and eliminate manual clean-up for admins.


Key Benefits:

  • Data Consistency: Ensures deleted information in Almabase or RE is reflected in the other system based on your chosen sync rules—either automatically or after manual review.

  • Reduced Manual Work: Eliminates the need for admins to manually check and remove outdated information.

  • Improved User Experience: Accurate data enhances communication and engagement with constituents.


How It Works:

  • Firstly, we need to configure the sync rules. (More details on how to enable is in the next section.)

  • What Happens Next:

    • Based on your chosen rules, deletions in one system will either sync automatically, require your review, or stay unchanged in the other system.

  • First-Time Setup:

    • After setting up and saving the sync rules, you’ll need to manually pull records for existing data to match across systems. The auto-pull feature only applies to deletions made after the sync rules are configured.

  • Inactive Records:

    • Records marked as inactive in Raiser’s Edge are treated as deletions, and sync rules will apply accordingly.

Note: If a record is marked as inactive in Raiser’s Edge, it is treated as a deletion, and sync rules will apply to manage its status in Almabase.


How to Enable:

Step 1: On the Admin panel, navigate to Settings> Database.

Step 2: Switch to the "Sync Rules" tab within the Database settings and scroll down to see the rule "Delete"

Step 3: Set delete rules for each entity (e.g., email, affiliation, solicit codes) and save changes.

Step 4: Now pull the records for the data to be matched on Almabase and Raiser's Edge.

Note: By default, the rule is set to "Don’t Delete", so no data will be removed unless configured otherwise.

  • After setting up and saving the sync rules, you’ll need to manually pull records for existing data to match across systems. The auto-pull feature only applies to deletions made after the sync rules are configured.

  • We strongly suggest pulling records after setting up the rules for 'Affiliations" to maintain consistency.

Note: Deletion sync is only available for certain entities:

  • Email Address

  • Affiliation (Constituent Code)

  • Solicit Code

  • Phone Number

  • Address

  • Education

  • Custom Fields

  • Relationship (Employments)

  • Online Presence (URLs)

These are fields or entities that allow multiple values and hence deletion rule can be applied. For Single value fields, i.e. Basic Information, the rules of only "New" and "Update" will apply.

Deletion sync applies automatically to email, affiliation, and solicit codes. For other fields, deletion rules apply only after you pull the record into Almabase.


Frequently Asked Questions:

Q1: What happens if I delete an affiliation in Almabase?
A1: The deleted affiliation will also be removed in Raiser’s Edge if auto-sync is enabled. If review mode is chosen, it will appear in your data inbox for verification.

Q2: Will inactive information from Raiser’s Edge show up in Almabase?
A2: No, inactive records from Raiser’s Edge will be hidden in Almabase to prevent outdated information from being displayed.

Q3: Can I choose which deletions are auto-synced?
A3: Yes, you can set sync rules to ignore, auto-sync, or require manual review before deletion.

Q4: If I remove a value from a field and replace it with a new one, will the delete rule apply?
A4: No, this will be treated as an update, not a deletion.

Q5: If I delete a phone number in Almabase, will it be removed in Raiser’s Edge (or vice versa)?
A5: Yes, the sync rule you’ve set for phone numbers will apply.

Q6: If I rename options in a code table on Raiser’s Edge, will that trigger delete rules?
A6: No, renaming options is treated as an update and does not trigger deletion.

Q7: If I remove options in a code table on Raiser’s Edge, will that trigger deletions across related records?
A7: Yes, removing options in the code table may delete those values from all associated records, depending on the sync rules set.

Q8: Do deletion rules apply to all fields the same way?
A8: No, deletion sync applies automatically to email, affiliation, and solicit codes. For other fields, deletion rules apply only after you pull the record into Almabase.
