When adding gifts manually to Almabase (individually or via Excel), they may sync to Raiser’s Edge by default unless explicitly marked otherwise. To prevent duplication, populate the "External Database ID" field with a value from Raiser’s Edge.
Gifts imported directly from Raiser’s Edge are configured automatically not to sync back.
How to Add a Value to the "External Database ID" Field?
Adding Gifts Individually
When entering an offline gift into Almabase, locate the "External Database ID" field on the gift entry form.
Enter the gift’s System Record ID from Raiser’s Edge in this field.
This tells the system the gift is already in Raiser’s Edge, preventing it from syncing back.
Adding Gifts Using an Excel File
In the template file, locate the column labeled "RENXT ID."
Enter the corresponding System Record ID for each gift from Raiser’s Edge in this column.
When the file is imported into Almabase, the "RENXT ID" value is automatically added to each gift's "External Database ID" field, ensuring they don’t sync back.
Why Does This Work?
The "External Database ID" field is a unique identifier that signals the gift’s origin from Raiser’s Edge. When populated, Almabase recognizes that the gift is already recorded in Raiser’s Edge and does not attempt to sync it again.
Additional Notes
For offline registrations or gifts that should not sync back to Raiser’s Edge, always ensure the "External Database ID" field is populated correctly.
Gifts imported directly from Raiser’s Edge are automatically configured with the System Record ID, so no additional steps are required.
