Sync Gifts from Almabase to Raiser's Edge

Learn how to push one-time gifts received on Almabase to Raiser's Edge as a batch.

These are the steps to push one-time gifts from Almabase to Raiser's Edge NXT.

Prerequisites:

Step 1: Select/Filter down the gifts to be pushed

Head to the Gift Dashboard and apply filters to narrow down the gifts you would like to sync. You can use filters such as "Page" to filter gifts made to a specific campaign.

Pro Tip: The "Is synced with external database" filter lets you narrow down all the gifts that are not yet synced to Raiser's Edge NXT.

Based on the filters you apply, the gifts will be listed in the table view as shown below.

Step 2: Create a gift list

Click on the gear icon βš™οΈ and select the "Create a gift list" option.

This creates a gift list with all the gifts you've filtered down on the table.

Step 3: Find the 'Gift List' you created and connect your database.

Under the Gift List tab πŸ‘‡, look for the list you created and open it.

Once you find your 'Gift List, the next step is to connect your database πŸ‘‡ This step forms a connection between Almabase and your Raiser's Edge environment to facilitate syncing gifts.

Select the connection you would like to use and click on the Test Connection button to ensure both systems are connected successfully.

Note: If you have set up Constituent Sync on your platform, you can use the same user as the connection for syncing gifts.

If you do not have a connection already in place, click on "Add a connection" from the dropdown. Follow this article to learn how to add a new connection.

Step 4: Validate the Gift List

The Validate Gift List button lets you check for any potential errors with the gifts you've added to your gift list.

Any errors that the system detects will be listed within the gift list. You can fix these errors by clicking on the Fix Errors πŸ”§ button.

Step 5: Sync Gift Data

Once all the errors are fixed, you can click on the Sync Gift Data button to sync your gifts.

Since all gifts on Almabase are pushed to Raiser's Edge NXT in batches, you can choose to add gifts to an existing batch on RENXT or create a new batch.

  • If you choose to create a new batch, give it a batch number (The value can be alphanumeric).

  • If you choose to add to an existing batch, you'll find all the batches on RENXT in a drop-down list to choose from.

You can further configure the following details for the gifts you want to sync.

  • Appeal

  • Package

  • Campaign

  • Gift Type

  • Gift Sub-type

  • Payment method

  • Recipient Status

For all the fields above, you'll be shown a dropdown list of all the options you have for that specific field on your RENXT environment to select from.

Once you've filled in all the details, you can click on the OK button, and the sync will start. The gifts within the gift list will be pushed to Raiser's Edge as a gift batch.

How do you check the status of the sync?

On Almabase

  • You can check the status on the gift list page either on the progress bar or the Sync status column on the table.


Note: Refresh your screen after you start sync to see the progress.

On Raiser's Edge NXT

  • The gifts are added to a batch on Raiser's Edge NXT.

  • Review the batch on RE and approve it. Once approved, the gift will be committed, and the batch will be visible on the database view.
