Sync Gifts from Almabase to Raiser's Edge

Learn how to push one-time gifts received on Almabase to Raiser's Edge as a batch.

These steps are to push gifts from Almabase to Raiser's Edge NXT.

Step 1: Create a Gift List

  • First, create a list of the gifts to be pushed to the Raiser's Edge gift batch. Head to the Gift Dashboard > Add Filter to narrow down the gifts you would like to push.

    • For example, you can use filters such as "Page" to filter gifts made to a specific campaign.

Pro Tip: The "Is synced with external database" filter lets you narrow down all gifts that have not yet been synced to Raiser's Edge NXT.

  • Based on the filters you apply, the gifts will be listed in the table view as shown below.

  • Filter based on gift date: Apply date filters to this table to create a list of gifts made between specific dates.

  • Click on the gear icon βš™οΈ and select the "Create a gift list" option. This creates a list of all the gifts you've filtered on the table.

Note: The "Create a gift segment" option lets you create a dynamic list. A list that auto-updates based on the filters applied.

Step 2: Validate the list

  • Under the Gift List tab πŸ‘‡, look for the list you created and click on it.

  • Select a Raiser's Edge account to push the gifts. If you do not already have a connection, click Add Connection from the dropdown. Follow this article to learn how to add a new connection.

Note: Ensure the connected Raiser's Edge account has Security Groups - Full Rights and Fundraising rights.

  • Click on the Test Connection button to ensure both systems are connected successfully.

  • Click on Validate Gift List. The system checks for any potential errors with syncing the gifts in the list.

  • Any errors that the system detects will be listed below. You can fix these errors by clicking on the Fix Errors πŸ”§ button.

  • Once all the errors are fixed, click Validate Gift List again to confirm the fixes and proceed to sync.

Step 3: Configure gift data and push to RE

  • Click Sync Gift Data once the gifts are validated.

  • You will see the options to configure gift details before pushing them to the RE gift batch. Let's go through them one by one.

  1. Gift batch number

    • You can choose to add to an existing batch - just search for it or create a new batch.

  2. Default gift fields

    • Set up the following gift fields before pushing them to the RE gift batch.

    • The following gift data are pushed Almabase to Raiser's Edge.

      • Appeal

      • Package

      • Campaign

      • Gift Type

      • Gift Type For Recurring Gift Payment

      • Gift Sub-type

      • Payment method

      • Recipient Status

      • Post Status

      • Acknowledgment Status

      • Use Default Soft Credits (toggle) - If you turn this ON, the soft credit rule set by default will be applied.

  3. Custom gift attributes

    • The custom attributes configured on Raiser's Edge will appear under this tab.

    • Search and add the required value to these attributes and sync.

Once you've filled in all the details, click the Start Sync. The gifts will be added to the specified batch on Raiser's Edge.

How do you check the status of the sync?

On Almabase

  • The sync will kick-start immediately after you click on "Start Sync".

  • The page will show the status on the progress bar, or you can refresh the page to check the Sync status column in the table.

On Raiser's Edge NXT

  • The gifts will be added to a batch on Raiser's Edge NXT under Fundraising>Gift Management.

  • Review the batch on RE and approve it. Once approved, the gift will be committed, and the batch will be visible in the database view.

Note: The batch won't be visible in the database view on Raiser's Edge until it is approved.
