Updating Record Information from Data Studio

Learn how to update affiliations, city, or membership name for one or more records using the Update Info menu in Data Studio.

Context

Sometimes you need to update information across multiple records at once — changing a group of users' affiliation from "Student" to "Alumni" after graduation, correcting the city for a batch of records, or updating membership names. Instead of editing each profile one by one, you can select records in Data Studio and update them in bulk using the Update Info menu.

This article covers all four actions available under Update Info: adding affiliations, removing an affiliation, editing city, and editing membership name.

How It Works

Step 1: Select the Records You Want to Update

  1. Go to MembersData Studio in the admin panel.

  2. Search for the records you want to update using the search bar, or use filters to narrow down to a specific group (e.g., all records with Affiliation = "Student").

  3. Select the records by checking the checkbox next to each name. You can select multiple records, all records on the page, or all records matching your filter.

Step 2: Choose an Action from Update Info

Click Update Info in the toolbar at the top. You'll see four options:

Add Affiliations

Use this to assign one or more affiliations to the selected records. This is useful when records need an additional affiliation — for example, marking a group of students as "Alumni" after graduation.

  1. Click Update InfoAdd Affiliations.

  2. Select the affiliation(s) you want to add.

  3. Click Update to apply.

The selected affiliation(s) will be added to all chosen records. If a record already has that affiliation, it won't be duplicated.

Remove Affiliation

Use this to remove a specific affiliation from the selected records.

  1. Click Update InfoRemove Affiliation.

  2. Select the affiliation you want to remove.

  3. Click Update to apply.

The selected affiliation will be removed from all chosen records. If a record doesn't have that affiliation, nothing changes for that record.

Edit City

Use this to update the city field for the selected records.

  1. Click Update InfoEdit City.

  2. Enter the city name.

  3. Click Update to apply.

This overwrites the existing city value for all selected records. Use filters first to make sure you're only updating the right records.

Edit Membership Name

Use this to update the membership name for the selected records.

  1. Click Update InfoEdit Membership Name.

  2. Enter the new membership name.

  3. Click Update to apply.

This overwrites the existing membership name for all selected records.

FAQs

Can I update multiple fields at the same time?

No — each Update Info action updates one field at a time. If you need to update both the affiliation and city for the same set of records, run each action separately. You don't need to re-select the records between actions as long as you keep them selected.

Will adding an affiliation replace the existing one?

No. "Add Affiliations" adds to the record's existing affiliations — it doesn't replace them. If Maria Gonzalez is currently "Student" and you add "Alumni," she'll have both affiliations. To remove the old one, use "Remove Affiliation" as a separate step.

What happens if I accidentally update the wrong records?

There is no built-in undo for Update Info actions. If you've changed affiliations, city, or membership name for the wrong records, you'll need to select those records again and manually set the correct values. For critical bulk updates, use filters to double-check your selection before clicking Update.

Can I update info for a single record this way?

Yes — you can select just one record and use Update Info. However, for a single record, it's often easier to click on the record's name to open their profile and edit the field directly.
