Every institution on Almabase has a growing database of constituent records — alumni, students, faculty, donors, and more. Whether you need to find a specific person, update information in bulk, create an email list, or export data for a report, it all happens in one place: Data Studio.
Data Studio is the central hub for managing your constituent data on Almabase. Think of it as your command center — it gives you a searchable, filterable view of every record in your database, along with tools to take action on those records individually or in bulk.

How It Works
Accessing Data Studio
To get to Data Studio, log in to your Almabase admin panel and go to Members → Data Studio.
You'll see a table view of all your constituent records.
Understanding the Layout
Data Studio has three main areas:
Left panel — This is where you search for records by name or email, apply filters, and access your saved filters. You'll also find the toggle to show only records listed on the directory.
Table view — The main area showing your records in rows. Each row is a constituent, and the columns show the data fields you've chosen to display (like name, email address, email status, and more).
Toolbar — When you select one or more records, a toolbar appears at the top with three menus:
Admin Actions — Take action on records: manage communication settings, control account access, or change record status
Update Info — Edit record details like affiliations, city, or membership name
Download records — Export your data in different formats
Searching and Browsing Records
Use the search bar in the left panel to find records by name or email address. As you type, the table filters down to matching records.
To work with multiple records at once, use the checkboxes on the left side of each row. You can:
Select individual records by checking their boxes
Select all records on the current page using the checkbox in the header row
Select all records in your entire database (or filtered set) by clicking the "Click here to select all [number] records" link that appears after selecting all records on the page
Customizing Table Columns
By default, Data Studio shows a standard set of columns. You can customize what's visible by clicking Add/Remove Columns in the top-right corner of the table.
Choose the columns that are relevant to what you're working on. Your column selection also affects what gets included when you use the Download Table Data Only export option.
Filtering Records
Filters let you narrow down the records displayed in the table. Click + Add Filter in the left panel to see the full list of available filters.
You can combine multiple filters to create a specific segment. For example, you might filter by Affiliation = "Alumni" and Class Year = "2013" to find all alumni of those Class Year.
Saving filters: Once you've set up a useful combination of filters, click Save Filters to save it for later. Give it a descriptive name like "Bay Area Alumni" or "Class of 2015"
Managing saved filters: Access your saved filters by clicking All Saved Filters in the left panel. From there, you can:
Load any saved filter to apply it instantly
Set a filter as default — this filter loads automatically every time you open Data Studio
Delete filters you no longer need
Tip: If your saved filter keeps loading every time you open Data Studio and you want to see all records instead, create a new filter with no conditions, name it something like "All Records," and set it as default. This way Data Studio opens with the full, unfiltered view.
Exporting Data
To download your data, select the records you want to export and click Download records in the toolbar. You'll see three options:
Download All Data — Exports a comprehensive spreadsheet with all available data fields for the selected records. This is the most complete export.
Download Table Data Only — Exports only the columns currently visible in your table view. Useful when you've customized your columns to show exactly the data you need.
Download Data in Raiser's Edge Format — Exports the data formatted for import into Raiser's Edge. Use this if your institution syncs data back to your CRM.
Note: For large exports, select fewer than 15,000 records at a time to avoid issues. If you need to export your entire database, do it in batches.

Managing Records
Add a new record — Create a constituent record directly in Data Studio
Update record information — Edit affiliations, city, or membership name for one or more selected records using the Update Info menu
Approve, block, or request more info from users — Control account access for users who have registered on your platform
List or unlist records on the directory — Choose which records appear in your public-facing alumni directory
Archive or delete records — Remove records you no longer need, with the option to archive (reversible) or delete (permanent)

Create a communication group — Build an email list from selected or filtered records to use in bulk emails
Add or remove records from a communication group — Manage membership of existing communication groups
Unsubscribe records from communication — Stop bulk emails for specific records
Reset email status — Clear a bounced or errored email status so the system retries delivery
Send a text message — Send SMS messages to selected records directly from Data Studio
FAQs
Can I undo a bulk action taken from Data Studio?
Most bulk actions cannot be reversed on your own. Deleting a record is permanent and cannot be undone. Archiving is not permanent, but restoring an archived record requires reaching out to Support — you cannot do it yourself from Data Studio. For communication actions like unsubscribing or resetting email status, there is no direct "undo" — you would need to take a separate action (like re-subscribing a record or manually setting an email status) to get back to the previous state, and the original state may not be fully recoverable. When in doubt, double-check your selection before confirming a bulk action.
What's the difference between "Download All Data" and "Download Table Data Only"?
"Download All Data" exports every available data field for the selected records, regardless of which columns you have visible. "Download Table Data Only" exports only the columns currently showing in your table. If you've customized your columns to show exactly what you need, "Download Table Data Only" gives you a cleaner, more focused export.
Why don't my changes show up immediately after I make them?
Occasionally, there's a short delay before updates appear in Data Studio. This is usually due to backend processing. If your changes haven't appeared after a few minutes, try refreshing the page.
I saved a filter but now it loads every time I open Data Studio. How do I reset this?
Create a new saved filter with no filter conditions applied (so it shows all records), name it something like "All Records," and set it as default. This way, Data Studio opens with the full unfiltered view. See the tip in the Filtering Records section above.
Can I edit a single record's details directly from Data Studio?
Data Studio is designed for working with records in bulk. To edit a single record's full profile (like name, email, address, or education details), click on the record's name in the table to open their profile page, and make changes there.
What's the difference between archiving and deleting a record?
Archiving removes the record from your active database but keeps it stored — you can restore it later if needed. Deleting permanently removes the record and all associated data. When in doubt, archive first. See Removing, Deleting, or Archiving a Record for the full breakdown.
