Once you set up the filters based on the engagement data you want to focus on, you can create email lists and send targeted messages to the generated user list.

Create an email list of all the users in the report

  • When you want to reach out to all the users in the report, create an email group with them.

  • Click on the gear icon ⚙️ above the table, and choose either Create a Segment or Create a List to create an email group for the list of users on the report.

    • If you want the email list to be automatically updated as and when more users meet the criteria (or filters) set up for the report, then choose Create a Segment.

    • To keep the email list fixed to the users that you see currently on the report, choose Create a List.

  • Examples:-

    • Continuing from the example of Young alumni who participated in events, you can create an email group with all of them to send a personalized invite for your upcoming event.

    • Another example would be creating a segment of all of those who visited the campaign page but didn't make a donation yet. You will be able to send them appeals for donations at regular intervals.

Creating an email list of specific users on the report

  • When you want to reach out to only specific users in the table for your report, you can select specific rows and create a list of just those users.

  • Select the users, and click on the gear icon ⚙️ as shown below.

  • Examples:-

    • Let's say you have applied filters to get a list of LYBUNTs (users who donated last year but not this year)

      • Before you start your next giving campaign you might want to reach out to these donors first. You can create a segment and send emails to all these users directly as mentioned above.

      • If you wish to go a step further and make your reach out more personalized, you can further see who has engaged with you recently - like attended an event or responded to your appeal request, opened or clicked on an email you sent in the last 3 months.

      • These donors will be more likely to donate this year too. You can send them a different message.

    • In the example of Young alumni who participated in events, if you have tagged the events they participated in using categories, then you can send out personalized emails based on what kind of event the user participated in the most.

      • Let's say you have categorized the events as "Career Growth", "Academic Support", and "Leisure".

      • If your upcoming event is about Career growth, select only those who participated in such an event and create a list to send specific emails to them.

  • 💡 Pro-tip: When you add the engagement-related columns to the report (touchpoints or categories), you will see a date range field. Use this date range field to see within a given time frame how many times the user had a specific touchpoint or participated in a particular category of touchpoints.

Download the report to easily share with others

  • With the export option available, you can easily download and share the report with the rest of your team. This makes it simple for everyone to monitor how your programs are working out.
