Understanding Bulk Mapping
What is mapping?
Mapping is the process of linking guest or donor profiles in Almabase or to constituent records directly on Raiser’s Edge. Mapping ensures that information flows correctly from Almabase to Raiser’s Edge
For a sync to work, the mapped profile must have a System Record ID. Without this ID, Almabase cannot identify which record to update in Raiser’s Edge.
What is bulk mapping?
Bulk mapping is the ability to map multiple guest or donor profiles at once.
Instead of mapping each record individually, you can:
review suggested matches
select multiple records
map them together in one action
This helps you quickly resolve unmatched or duplicate records and keeps your sync running smoothly.
Why Bulk Mapping Is Important
Some records don’t auto-match when syncing to Raiser’s Edge. This can happen when:
a guest uses a different email
a nickname is used
duplicate profiles exist
the System Record ID is missing
information isn’t clear enough to confirm a match
New guests or donors whose profiles do not exist in both systems
If a record isn’t mapped to a profile with a System Record ID it will not sync to Raiser’s Edge.
Bulk mapping helps you:
resolve multiple records quickly
choose the correct profile when duplicates exist
create new profiles when needed
ensure successful syncing to Raiser’s Edge
How to Map Profiles in Bulk
Step 1: Opening the Guest Matching section
Go to your event or giving guest dashboard
Find the Guest Matching section
You’ll see counts for:
records needing mapping
profiles to be created
Click Review and Map
This opens the Bulk Guest Profile Mapping page.
Understanding the Mapping Screen
When you click Review and Map from the Guest Matching section, you’ll land on the Guest Profile Mapping page. This is where you review suggested matches and complete mapping in bulk.
Here’s how the screen is structured:
1. Filter records at the top
At the top of the page, you’ll see filtering options to help you review records quickly.
Show records with:
Matches → Guests who have suggested profile matches
No matches → Guests who don’t have any existing profile match yet
2. Mapping records with matches
For guests who have suggested matches:
Each guest appears on the left
Suggested profiles appear on the right
A confidence label (High/Medium/Low) shows how strong the match is
All: Shows every suggested match, regardless of confidence level.
Use this view if you want to review everything together or clear the entire mapping queue.High confidence: These are strong matches based on key identifiers like name, email, or phone.
In most cases, these can be safely mapped in bulk after a quick review.Medium confidence: These are likely matches but not fully certain.
There may be small differences (for example: nickname vs full name, different email, or partial data).
You should review these before mapping.Low confidence: These are weak suggestions where the system isn’t very sure the profiles are the same.
Careful review is recommended before mapping, as these may be different people or duplicate records that need cleanup.
Use these filters to review similar records together. For example, you can start with High confidence matches and map them quickly in bulk.
You can:
Select multiple guests
Review the suggested profiles
Click Map guests to map them all at once
This allows you to resolve many mappings in a single action instead of mapping each one individually.
3. Viewing records with no matches
Switch to No matches to see guests who don’t have a matching profile yet.
These are typically:
new donors
new event registrants
guests not yet in your database
You’ll see:
a list of unmatched guests
a Select all guests option
a Create guest profiles button
You can select multiple guests and create their profiles in bulk. Once created, these profiles will be ready for syncing to Raiser’s Edge.
Use the search field in the Find unmatched guests section to locate a specific person quickly. This is helpful if you want to create or review one profile at a time within the bulk mapping screen.
