Prerequisites

Step 1: Connect the Database and Set Up Sync Configurations

  1. Go to Tools > Events > "Sync Configuration".

  2. Choose a user account or select "Add Connection" to create a new one.

  3. Set up your sync settings for Event, Ticket, and Guest Configuration. Find out more here.

Note that the default sync settings apply to all new events. Use the 'Sync & Export' tab to modify the settings for specific events,

Step 2: Select Guests to Sync

  1. Navigate to the Guest Dashboard.

  2. Use filters like "Event" to narrow down the list of guests you want to sync.

  3. The filtered guests will be displayed in a table view.

Step 3: Initiate Guest Data Sync

  1. Click on "Sync guest".

  2. A small banner will appear to mention sync is in progress.

  3. If there are errors, an Error Resolution board will pop up highlighting errors that need to be fixed. Click on the error to be taken to the resolution page where you can resolve the errors.

  4. After the errors are fixed, click on the "Sync guests" button again to sync the guests who are pending. Once done, the table view will reflect the updated RSVP status and Payments status based on the sync configuration for that event.

  5. Once the "Payment Sync Status" shows "Gifts created" switch to the "Gift Dashboard" tab right next to the "Guest Dashboard".

  6. In the "Gift dashboard"

    • Filter the event

    • Click on "view" in the "NEW GIFTS" block.

    • Update the gift details as needed and save. (GIF below)

  7. After updating, click on "Add gifts to batch"

    • On the pop-up screen, you can either add to an existing batch or create a new batch.

    • Click "Start sync".

  8. The payment sync process begins upon batch creation. Once done, the gifts are pushed to RE and on the Almabase Gift dashboard, they are moved to "GIFTS AWAITING APPROVAL" section.


  9. Approve the gifts on RE to move them to the "APPROVED GIFTS" section.

  10. RSVP sync status that was already synced from the "Guest dashboard" and the payment status that was synced from the "Gift dashboard" can be checked on Almabase.
